Stop digging through fifty emails to find the three that matter. Ten minutes today saves you the twenty minutes you lose every single morning to a cluttered inbox.
1. Pick your inbox tool
If you use Gmail, open the Gemini side panel, it can already see your inbox. If you use Outlook, open Copilot. Otherwise open Claude or ChatGPT and paste in today’s unread subject lines and first lines.
2. Give it one filtering instruction
Type this: ‘From these emails, list only the ones that need a reply from me today. For each one write who it is from, what they are asking for in one line, and any deadline. Skip newsletters, notifications, and anything marked FYI.’ Ask it to keep the list under 10 lines.
3. Run it before you open your inbox properly
Do this first thing, before you start reading top to bottom. Forty unread emails turn into a five line list you can act on straight away.
4. Connect it directly if you want to skip copy paste
Some AI assistants support ‘connectors’ or MCP, a small plug that lets the AI open an app directly instead of you pasting text in. Turn on the Gmail or Outlook connector once, and it can read your inbox itself every morning.
5. Correct it for a week
The first few mornings it will misjudge something, calling an update urgent or missing a real one. Add one line each time, like ‘also ignore anything from the internal tools digest,’ until the list is reliably right.

A reader opens their inbox on a Monday morning to 47 unread emails, most of them internal digests and newsletters.

1. Priya (Finance) needs your sign-off on the Q3 budget, due today by 5pm. 2. Ahmed (Client) is waiting on your confirmation on the contract, flagged urgent, no stated deadline. 3. Vendor invoice #4521 is marked overdue, needs approval or a reply saying it is being handled. Everything else in your inbox can wait until this afternoon.
Three ways to bend it
For WhatsApp or Slack instead of email
Same idea for Slack DMs or WhatsApp Business. Paste today’s unread messages and ask for only the ones needing a reply from you specifically today.
For a shared team inbox
If you manage a support or sales inbox, run the same filter for the team, then add ‘for each, say who on the team should answer this’ so it also assigns owners.
For weekly instead of daily
If daily feels like overkill for your role, run it once on Monday for the whole week’s backlog and ask it to flag anything that is already overdue.
When it goes wrong
It keeps calling everything urgent
Tighten the instruction with your own definition of urgent, for example ‘only flag as urgent if there is a stated deadline or it is from my manager or a client.’
It missed an important email
Usually the subject line or first line did not say enough. Paste in a bit more of the email body next time so it has real context to work with.
I do not want to give it access to my whole mailbox
That is fair. Skip the connector and keep copy pasting each morning. It is slower but nothing gets read that you did not choose to share.
When not to use this
If your inbox carries sensitive legal or HR material you are not comfortable an AI tool touching even briefly, or your company policy blocks connecting AI to email, skip the direct connector and stick to manual copy paste, or skip this for that particular account. And if you only get a handful of emails a day, you do not have the problem this solves, just read them.
