How to Make AI Chase Unpaid Invoices For You

How to Make AI Chase Unpaid Invoices For You

Stop losing money to invoices you forgot to chase. It turns an awkward, easy to forget task into a five minute Monday routine that runs itself.

Overdue invoices 59% of small businesses carry invoices overdue 30+ days, per QuickBooks 2026 data
Average amount owed $17.7K average owed to small businesses with unpaid invoices
QuickBooks reminders Automatic reminders schedulable up to 90 days before or after an invoice due date
Zoho reminders Up to 30 automated reminders can be set based on due date or expected payment date

1. Build one tracker

Make a simple sheet with five columns: Client, Invoice number, Amount, Due date, Status. Add every invoice you have sent in the last three months, even the ones you already forgot about. This takes ten minutes and it is the only setup you need.

2. Hand the sheet to your AI assistant

Open a chat with your AI tool of choice and paste the tracker in, or connect the sheet if your tool allows it. Tell it plainly what it is: your invoice tracker, and that Status will say Paid, Pending, or blank.

3. Give it one job and today’s date

Ask it: today is 17 September 2026, look at this tracker, find every invoice where the due date has passed and status is not Paid, and draft a short, polite follow up email for each one in my normal tone. Always state today’s date, most tools do not know it on their own.

4. Read before you send

AI drafts, you decide. Skim each email for tone and accuracy, fix anything that sounds off, then send. This stays a five minute review, not a blind autosend.

5. Make it a standing Monday task

Set a recurring reminder, in your calendar or inside the AI tool if it supports scheduled prompts, to run this same request every Monday morning. The tracker only works if the check happens without you remembering to ask.

A worked example

A freelance designer has five outstanding invoices and usually only remembers to chase one after a client mentions it.

Before

Tracker row: Client – Meridian Retail, Invoice – 1042, Amount – 1200, Due date – 15 Aug 2026, Status – blank. No email sent, 33 days overdue.

After

Hi Priya, hope you’re doing well. Just a quick note that invoice 1042 for 1,200, due 15 August, is still outstanding on my end. Could you let me know when payment is expected? Happy to resend the invoice if that’s easier. Thanks!

Three ways to bend it

Sales rep chasing sign offs

Swap the tracker columns to Client, Contract sent date, Expected close date, Status. Same weekly prompt, now it drafts a nudge asking where the approval stands instead of a payment reminder.

Manager chasing status updates

Track Task, Owner, Due date, Status across your team instead of clients. Before your Monday meeting, AI flags who has not updated their task and drafts a friendly one line check in for each.

HR chasing paperwork

Track New hire, Document, Due date, Received. AI drafts the reminder to whichever new joiner has not sent their ID proof or forms yet, so nothing slips before their start date.

When it goes wrong

The drafts sound too pushy or too stiff

Paste in two or three follow up emails you have actually sent before and ask it to match that tone. Without an example it defaults to generic corporate phrasing.

It says nothing is overdue when things clearly are

You likely forgot to state today’s date in the prompt. Many AI tools do not know the current date on their own, so say it explicitly every time you run this.

I don’t have my old invoices tracked anywhere

Do not wait for a perfect record. Spend ten minutes today listing what you remember is unpaid, start the tracker from there, and add to it as new invoices go out.

When not to use this

If you already use accounting software like QuickBooks or Zoho that sends automatic payment reminders, or you only ever have one or two invoices open at a time, this tracker just adds a step you do not need. It earns its keep when you are relying on memory, WhatsApp threads, or old email chains to know who owes you money.

What you can now do

You stop finding out an invoice is overdue by accident, and you never have to stare at a blank email trying to word an awkward reminder again.

Full resume rewrite, section by sectionBest on Claude
Act as a blunt hiring manager who has read ten thousand resumes, not a career coach. I will paste my full resume and the job description I want. Rewrite the whole resume for that role, section by section, in this order: summary, experience, skills, education. Rules: every experience line leads with impact, not duty. Use bracketed placeholders like [8 percent] for any number I did not give you, and list at the end every placeholder I need to replace with a real figure. Keep it to one page of text. Plain formatting only, no tables or columns, so screening software can parse it. After the rewrite, tell me the three weakest claims that need evidence before I send this anywhere. My resume: [paste resume]. The role: [paste job description].

Takeaways

  • Build the five column tracker today, Client, Invoice number, Amount, Due date, Status, even with an incomplete list of past invoices
  • State today’s date explicitly at the start of every AI prompt, since most tools do not know the current date on their own
  • Paste two or three follow up emails you have actually sent so AI matches your real tone instead of generic phrasing
  • Set a recurring Monday calendar reminder or scheduled prompt so the check happens without you remembering to ask
  • Skim every AI drafted email for accuracy before sending, keep this a five minute review, not a blind autosend

Questions people actually ask

How do I get AI to remind me about unpaid invoices?

Keep a simple sheet with client, invoice number, amount, due date and status, then paste it into your AI chat tool each week. Ask it to compare due dates to today’s date and flag anything unpaid, then draft short follow up emails for each one. Review every draft before sending so the tone and details stay accurate.

Why does the AI say nothing is overdue when I know invoices are late?

Most AI chat tools do not automatically know today’s date, so without that detail they may compare due dates against an outdated internal reference point or skip the comparison altogether. State the current date plainly in your prompt every time you run the check, and the overdue flags should line up with reality again.

Should I just use QuickBooks or Zoho instead of building my own tracker?

If you already run invoices through accounting software like QuickBooks or Zoho, both offer built in automatic payment reminders you can schedule around the due date, so a manual AI tracker adds a step you do not need. This approach earns its keep when you are tracking invoices by memory, email or chat threads instead.

What columns should my invoice tracker spreadsheet have?

Start with five columns: client name, invoice number, amount, due date and status, marked Paid, Pending or left blank. Add every invoice sent in the last few months, including ones you may have forgotten about. That basic structure is all an AI assistant needs to compare against today’s date and flag what is overdue.

Can I use this AI tracker method for things besides chasing payments?

Yes, the same weekly tracker and prompt pattern works for sales approvals, team status updates or new hire paperwork. Swap the columns to match what you are tracking, such as contract sent date and expected close date for sales, then ask AI to flag anything overdue and draft a short check in message for each.

What happens next

Expect accounting tools like QuickBooks and Zoho to keep expanding their built in automatic reminder workflows, which narrows the gap this manual tracker fills for people who already use that software. Watch for AI assistants that can connect directly to spreadsheets and calendars so the weekly prompt runs without manual copy pasting. Until then, always state the date explicitly, since that remains a common failure point.
